How Email Setup Works

Setting up your company email is simple. It’s often handled during the startup process, but it can be done later. Here’s a quick breakdown:

Fill out a request form

Our team needs to know what accounts you need created and the passwords for each. Make sure you fill out the correct form! Click the first button if you’ve never had a domain-based email before. If you’re transferring one or more existing email addresses, use the second.

We create or transfer your accounts

Our developers configure your domain and accounts in our email system. Transfer of existing accounts begins. You’ll need to keep your old accounts active until this process is done. If you haven’t had accounts before, our customer support team will get to work setting things up.

Our team adds your domain to our security system

This enables Barracuda filtering, which provides virus and spam protection, helping safeguard you from malicious actors. You can whitelist, blacklist, and teach the filter your user preferences.

We send login info and next steps

You’ll receive a confirmation message with your login credentials and simple instructions for connecting your devices. This includes your login link and server settings.

How do I get emails for my domain?

Email is included with all our website packages. Just fill out the new email form, and our team will create your accounts. They’ll also send over the login link. No separate purchase is required unless you need additional storage or more accounts than your package provides.

Is there any email troubleshooting I can do on my own?

Yes. There are three things you can try on your own:

  • Double-check that the caps lock isn’t on when entering your password.
  • Make sure you’re logged into the correct account.
  • Confirm that you’re using the login link or server settings we provided. Your login will be your entire email address. Passwords are case-sensitive.

What do I do if I need help with my email?

Any security tips I should know?

We serve over 500 contracting companies across North America, and we’ve seen many email gaffes in that time. Barracuda helps with spam, but bad actors can get in if you make yourself an easy target. To keep your email and business safe, make sure you:

  • Use strong passwords and avoid sharing them between employees.
  • Inform us immediately if someone leaves your company so we can secure or update their account.
  • Avoid using the same password for multiple systems or email accounts.
  • Never open attachments from unknown senders.
Can you reset my password?

Yes—we cannot see your password, but we can reset it. Just email us to initiate a reset.

How long do email transfers take?

There’s no set timeline. It depends on gathering all needed information, the number of accounts and amount of email to be transferred, and export options with your existing provider. Some transfers can be finished in ten minutes. Others might require a week or two of back-and-forth. Our team will guide you through the process and keep you updated.

Can you troubleshoot an outside application or email account?

We can help you set up your OA-hosted email accounts in Outlook, Gmail, Thunderbird, Apple Mail, and mobile apps. Beyond setup, we can’t troubleshoot these or any other third-party applications.

Can Online Access set up email forwards for me?

Yes. If you want messages forwarded to another inbox or alias, just let us know. Forwards are commonly employed when employees leave in order to monitor their address for any incoming email.

Are my new email accounts secured?

Yes. Every account includes Barracuda firewall protection, which filters out most malicious traffic. If something suspcious does get through, you can report it via your Barracuda login. If you need help with how to manage your filter, email us at help@pagepilot.com.

Are your emails IMAP or POP?

Our system supports both. IMAP leaves your mail on our server, whereas POP3 downloads mail from our server, either immediately or after a set number of days. Keeping mail on our server at least short term allows mail to be set up and accessed from multiple locations.
